Purpose:

The Secretary 1 is to provide a full range of secretarial and administrative support to the General Manager and other section managers.

Responsibilities:

* Perform diversified secretarial and administrative duties, provide support to the General Manager and other section managers.

* Manage General Manager’s schedule, coordinate meetings, appointments, and conferences with internal and external parties.

* Handle travel arrangements and organize related itineraries for GM and overseas consultants.

* Screen telephone calls, enquires and requests, and refer them to relevant parties.

* Prepare responses to correspondences and follow-up on any requests or enquiries.

* Maintain the filing system.

* Settle invoices via internal Finance system.

Requirements:

* Formal secretarial training or equivalent qualification.

* Minimum 7 years secretarial/administration experience with at least 3 years being a secretary to a senior manager

* Good problem solving skills and capable to handle sensitive and confidential information.

* Good interpersonal skills with the ability to deal effectively with internal and external parties.

* Able to handle correspondence with minimal supervision.

* Strong planning and organizing skills and attentive to details

* Able to work under pressure and to meet tight deadlines.

* Good command of spoken and written English and Chinese

* Proficiency in MS Office (Word, Excel, PowerPoint and Chinese Word Processing)
