Position Description

Provides office assistance by attending to all incoming calls and office visits with excellent customer service approach. Provides support to other office departments as needed.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

• Answer telephone, screen and direct calls
• Provide information to callers
• Greet customers, vendors, and other persons entering the organization
• Announce visitors and direct them to correct destination
• Deal with queries from the public both by phone and in person
• Ensure knowledge of staff movements in and out of organization
• Monitor visitor access to internal offices.
• Provide general administrative and clerical support
• Prepare correspondence and documents
• Receive and sort mail
• Assist Management in scheduling appointments.
• Maintain appointment diary either manually or electronically
• Organize conference and meeting room bookings
• Monitor and maintain office equipment
• Tidy and maintain the reception area
• Assist with office supply ordering and sorting

Management and Office Support
• Provide support as back up to other departments
• Assist Senior Management with any tasks or projects that are requested.
• Provide assistance to any customer/vendor/or JAS personnel that may have questions
• Assist other departments with any special projects, filing when needed or audits if they arise.

Education/Experience:
Customer Service experience dealing with the public or in an office reception area environment.Proficiency in MS Word, Outlook and Excel

• Possess the ability to attend to visitor needs and questions
• Must be organized and pay attention to detail and accuracy
• Must acknowledge and adhere to process, deadlines and due dates
• Must have discretion, maintain confidentiality, and be honest
• Must have good communication skills and problem solving skills
• Must possess and maintain a positive attitude at all times towards customer/vendors and employees.
• Possess a Team approach to all duties
