ZENETEX specializes in management and technology support services for a variety of federal agencies and commercial organizations. We have an opportunity for a qualified Office Operations Assistant to join a proactive, energetic and successful department. This position will serve as the Office Operations Assistant supporting several Federal government program managers. The Office Operations Assistant shall manage and conduct office administrative support activities for several Federal government managers. This position will be located in Arlington, VA.

Primary Duties and Responsibilities

* Writing, Notes, and Correspondence in accordance with established office policies and procedures

* Establish and maintain office management systems for:

* Management analyses

* Personnel management

* Procurement procedures

* Travel policies and procedures

* Office security procedures

* General administrative services

* Support office logistics and procurements

* Solicit, receive and track cost estimates

* Assess equipment availability and coordinate delivery dates and receiving from business vendors

* Support document preparations for purchase or repair and improvements, new equipment, office supplies, etc.

* Support preparations for travel authorizations, transportation requests, schedules, and reservations for Federal government civilian and military personnel travelling on government business

* Ensure compliance with government travel regulations, processes and procedures

* Plan itineraries, arrange reservations, and manage travel calendars/points of contact

* Assist government personnel with special meeting authorizations and permissions

* Make copies of travel plans and distribute to government parties

* Perform courier runs in the Washington DC area to drop off and pick up documents

* Assist senior government program analyst with development and management of office program data files regarding contracts the office is managing - to include:

* Tracking office correspondence of all types

* Program expenditures by contract

* Status of contract deliverables

* Routine contract correspondence

* Manage the Independent Research & Development (IRAD) projects database

Education and Experience Requirements

* Active duty Navy administrative experience and/or Associate’s Degree desired

* A minimum of 3 years administrative office support experience; Department of Defense/Navy office support preferred
* Strong written and verbal communications ability to work side by side with senior Federal government managers; a self-starter who can manage work effectively with minimal oversight

Security Clearance

* This position will require an active Top-Secret level security clearance
