Position Description:

The Executive Assistant will provide proactive organizational support for the following level staff: VP/Business Unit Managers and Sr leadership team. This person will interact with all levels of the organization, must respond well to pressure, and will need to maintain a high level of professionalism and confidentiality. The Executive Assistant must be an organized planner with the demonstrated ability to respond effectively and efficiently while maintaining flexibility in a fast paced, Corporate environment. It is expected that the Executive Assistant will have expert level written and verbal communication skills, strong decision-making ability and attention to detail.

Position Requirements:

RESPONSIBILITIES:
• Prioritize and execute special projects with limited guidance, anticipating next steps, taking initiative, exercising discretion and sound judgment and being sensitive to deadlines.
• Provide administrative support including coordinating meetings (and calendars for the senior staff). This may include events, scheduling conference rooms, preparing agendas, managing the collection and production of meeting materials, recording and distributing meeting minutes, and tracking and reporting on status of action items and deliverables, as needed.
• Requires an understanding of business travel needs and ability to book both domestic and international travel.
• Experience handling time sensitive materials, coordination of both domestic and international travel arrangements, calendar scheduling and phone coverage.
• Prepare expense reports and other administrative forms.
• Occasionally prepare internal and external correspondence, memos and other documents; Prepare for distribution (proofing, photocopying); Manage incoming correspondence and documents as needed (sorting, filing).
• Coordinate and complete special assignments and collaborate with various staff and departments to facilitate completion.

SKILLS:
• 4-7 years of experience in a high-level Executive Assistant position
• Some college or post-secondary education preferred.
• Requires excellent people skills, including strong interpersonal skills, the ability to build and maintain positive and supportive working relationships, and excellent customer service skills.
• Strong work ethic and willingness to take ownership for wide-ranging responsibilities
• Superior organization and prioritization skills
• Ability to perform under deadline pressure
• Persistence, resourcefulness, drive and ability to work proactively
• Strong communication skills, both verbal and written
• Desire to contribute meaningfully to the team
• Advanced Microsoft Word, Excel and PowerPoint skills
• Experience handling time sensitive material
• Other Duties as Assigned
