Position Description

StandardAero, one of the largest and most successful MRO companies in the world is seeking an administrative receptionist to provide world-class support for our corporate office. This position is required to perform a variety of administrative assistant related tasks, as well as answering and directing phone calls.

Your duties will include offering administrative support across the organization. You will welcome guests and greet people who visit the business. You will also coordinate front-desk activities, including distributing correspondence and redirecting phone calls.

Qualified candidates should have a pleasant personality, as this is also a customer service role. You should also be able to deal with emergencies in a timely and effective manner, while streamlining office operations. Multitasking and stress management skills are essential for this position.

Responsibilities
• Greet and welcome guests as soon as they arrive at the office
• Direct visitors to the appropriate person and office
• Answers a high-volume of calls from a multi-line system and directs them to appropriate contacts
• Provide basic and accurate information in-person and via phone/email
• Receive, sort and distribute daily mail/deliveries
• Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook, issue visitor badges)
• Order office supplies and keep inventory of stock
• Update calendars and schedule meetings
• Arrange travel accommodations and reconcile expenses reports
• Keep updated records of office expenses and costs
Position Requirements

• Proven work experience as a Receptionist, Front Office Representative, administrative assistant, office admin assistant or similar role
• Knowledge of office management systems and procedures
• Working knowledge of office equipment, like printers and mail machines
• Proficiency in MS Office (MS Excel and MS PowerPoint, in particular)
• Excellent time management skills and the ability to prioritize work
• Attention to detail and problem solving skills
• Excellent written and verbal communication skills
• Strong organizational skills with the ability to multi-task
• Liaise with executive and senior administrative assistants to handle requests and queries from senior managers
• Must be available to work 30+ hours Monday – Friday
