Description
Reporting to the Director Member and External Relations (MER) Products, the incumbent will be responsible for [1] supporting both the logistical and content aspects of the Annual General Meeting (AGM) and [2] leading the planning and execution of the other Executive events in MER’s portfolio.
Responsibilities
Support content and logistics the Annual General Meeting (AGM):
* Assist with venue search and site visits
* Identify event suppliers (branding, audio-visual) and support contract negotiations with them
* Liaise with contracted suppliers to ensure smooth preparation and delivery of the event
* Manage the event budget
* Coordinate with the host airline and event sponsors
* Oversee the event registration process
* Coordinate the process of defining the shape and content of the agenda
* Assist with speaker liaison/organization
And other Executive Events:
* In collaboration with IATA’s regional offices, develop the strategy around any regional events such as. ‘Aviation Days’
* Lead the planning and delivery of other events as necessary
* Assist in the development of the overall MER divisional event strategy, including the identification of possible new events that would further IATA’s commercial/advocacy objectives
Qualifications and Skills
A university degree in Hospitality or equivalent;
At least 7 years’ relevant work experience in events’ management;
Direct event and budget management experience;
An understanding of the IATA AGM would be an advantage;
Negotiation skills is a must;
Ability to work on multiple events simultaneously;
Ability to balance both the logistical and content related responsibilities of an event;
Ability to maintain good professional relationships with internal departments and external suppliers;
Ability to work internationally and cross culturally with strong communication and interpersonal skills;
Self-starter with demonstrated ability to work under minimal supervision. Outstanding organizational skills with the ability to effectively prioritize, work under pressure and meet deadlines.
