Reporting to the President of the IATA Pension Foundations, the Pension Manager is responsible for the daily administration of the 2 IATA Pension Foundations (400 active members in total) in Switzerland and, and also acts as Secretary to the Foundation’s two councils and various standing committees. The Pension Manager will provide essential support to the decision-making of the President and members of the Foundation’s two councils, overseeing the provision of outsourced administration, actuarial, tax and asset management services, and ensuring that the Foundation is compliant with the Swiss tax and pension regulations. The role also entails providing a high level of service and raising awareness and understanding of pension matters amongst IATA’s staff in Geneva.

We are looking for candidates that will be able to work part-time, the initial workload estimation is 80% but we could allow some flexibility if ideal candidates are looking for a lower working rate.

Responsibilities

1. Manager of daily operations

1.1. Ensure the accuracy of pension calculations by the pension administrator (checks, complex cases review);

1.2. Manage on-going treasury transactions, including validation of suppliers/external service providers invoices, approval of payments and funds transfers;

1.3. Manage external service providers and ensure services are delivered according to service agreements (pension administrator, actuary, auditor, investment advisor);

1.4. Advise and inform IATA employees on pension matters, update corporate intranet page to maintain up to date pension information;

1.5. Oversee customer service for IATA retirees;

1.6. Liaise with internal departments (PPD, payroll) and external providers on operational matters, annual valuation and audit process, taxes and asset management matters.

2. Secretary to the Foundation Council and standing committees

2.1. Convene, prepare, coordinate, minute and report on meetings of the Councils and committees;

2.2. Monitor progress and ensure completion of the actions requested by the Council and committees;

2.3. Ensure compliance with external audit, tax and Swiss pension regulations, including the maintenance and regulatory filing of key scheme documents;

2.4. Liaise with supervisory authority for any regulatory matter;

2.5. Supervise membership of the Councils, including election of employee representatives and Registre de Commerce compliance;

2.6. Provide training to new Council members and source regular training for existing members.

Qualifications and Skills

1. At least 5-7 years’ relevant work experience of managing a pension scheme, ideally with Swiss and/or International schemes in Switzerland;
2. Pension scheme secretarial skills;
3. A university degree in actuarial sciences, accounting or equivalent;
4. Ability to maintain good professional relationships with internal departments, external suppliers and regulators;
5. Strong communication (written and oral) including the ability to communicate complex concepts to a non-technical audience;
6. Ability to work internationally and cross culturally with strong communication and interpersonal skills;
7. Self-starter with demonstrated ability to work under minimal supervision. Outstanding organizational skills with the ability to effectively prioritize, work under pressure and meet deadlines.
8. Fluency in English and French;
