Flight Operations Administrator

Flybmi has created this new position to provide dedicated support to the Flight Operations Department through first-class administrative service to predominantly serve our pilots and cabin crew.

We are looking for someone who is organised and methodical in creating and following processes; has an approachable and can-do attitude; is a competent user of IT systems to prepare and present data and overall is interested in the airline business.

Key Responsibilities:

  • Administration support to the Flight Ops Department (including Cabin Crew & Training) to include filing, photo copying and update of flight deck paperwork, e.g. Laminates and checklists on the flight deck.

  • Create/update standard letters/emails for Flight Op’s, Management of Flight Operations folders on the T-drive.

  • Issuing Cabin Crew compliments letters when requested.

  • Issuing Flight Deck & Cabin Crew passport letters when requested.

  • Issuing Flight Deck & Cabin Crew Court exemption letters when required.

  • Removing leaver’s details from the ID folders to be returned to EMA for storage.

  • Reconciling rooming booking, stationary, security pass and car park pass invoices in preparation for approval.

  • Liaising with flybmi Head of Safety Security and Compliance to ensure regulatory requirements are maintained in line with CAA Single Consolidated Direction regarding Aviation Security.

  • Gathering and collating all the information required in order to ensure timely issue of security passes for all bases, uploading relevant information onto ID systems. (ID Gateway)

  • Co ordination of stationary requirements for the Flight Op’s office with EMA and also to liaise with Fleet Office and IT where applicable regarding requirements and any hardware/software issues.

  • Establishing the requirement for car park passes and arranging for crews to be issued with car park passes at the appropriate base.

  • Co-ordinating and tracking the requirement for new Airside passes and  renewals, ensuring all data required is obtained in a timely manner.

  • Conduct a quarterly in-house audit of security files with compliance / Recruitment & Resource Coordinator.

  • Provide support to the         

  • Flight Crew Training Administrator & Co-ordinator where required.

Hours of Work:

Monday to Friday [37.5hrs] working 09:00 to 17:00 hrs.
