Job Summary

• Responsible for ensuring collation, data entry and maintenance

of data on the Gate Gourmet database system (SACS).

• To coordinate planning functions in the unit by supporting the

process with accurate and on time information through systems

in place.

• To ensure that the information flow between all internal

departments and external customers is consistent, accurate and

timely.

• To continuously strive to improve performance within the

department and ensure that the correct measures, systems and

controls are in place.

Main Duties and Responsibilities:

* Gather and collate flight information from internal and external sources.

* Build flight information in SACS (Delivery plans, Loading set up, Time table, Catering Stowage Plans, Rotation Plans and others).

* Update all flight information accurately on a regular basis as required by customers.

* Ensure that flight is built in SACS to create accurate outputs – correct labels for packing and correct quantities for invoicing.

* Validate any changes made by checking the output both within the department and jointly with other departments.

* To assist the Operational and Finance teams with all data queries.

* Implement all Aircraft Catering Instructions on time and communicate to the unit via acknowledgement form.

* Assist unit with internal/external audits in the unit dispatch/fridge areas and communicate to the unit via acknowledgement form.

* Update change instruction log and participate in SACS clean up.

* Perform data checks prior to menu launches.

* Perform post-calculation data checks prior to final invoicing including invoice validation.

* Update Work Centres in SACS to ensure that product is correctly allocated to departments.

* Create Maximum Demand report prior to menu launch.

* Calculate labour costs for Non-Food activities by drawing up CPC Handling Sheets based on the flight information within SACS

* Create and update Bond Box Codes and Delivery Plans within SACS to reflect quantities of Bonded products loaded on flights. Ensure that this reflects on Customs required C.208 paperwork.

* Provide administration support for the Bond section during range changes and stock inventories.

* Support the rest of the Operations Planning & Control Team with other tasks when required to in co-operation with the Project Leaders/Managers.

* Comply with departmental processes and procedures, as well as wider Company policies and procedures.

* To update and maintain KES/KPI’s as agreed with Project Leaders/Managers.

* To be flexible to travel to other units as per business needs. Full UK driving licence is preferable.

Additional project work

* New customer launches.

* Trial and VIP flights.

* Ad-hoc and charter flights.

* Systems Enhancements

General tasks

* To ensure correct labels are used in the unit and check Label Issue Log daily.

* Feedback on work in progress and problems to the Project Manager/Project Leader.

* To attend department, operational and customer meetings.

* To be available to be on call some weekends and work some weekends during menu changes where necessary.

Qualifications:

Education

* Education to degree level or equivalent is preferred, but not essential.

Work Experience

* Previous experience of managing large volumes of data accurately, preferably from within a costing’s / planning background within the airline or catering industry, however not essential.

* A working knowledge of Microsoft Office Programs is preferred.

* Experience from operational and/or financial environment in catering unit is an advantage.

* Previous experience in a role where accuracy and attention to detail were essential.

Skills & Knowledge

* Excellent knowledge of Microsoft Office (Word, Outlook, Access, Excel)

* Understanding of basic health and safety, food hygiene and security regulations.

* Good time management and ability to work under pressure to meet deadlines.

* Strong accuracy and attention to detail.

* Good interpersonal and communication skills.

* Strong numeracy skills

* Ability to work independently or as part of a team.

* Ability to motivate self and others.
