Description

Reporting to the Manager, Office of the Director General & CEO, the incumbent contributes to the efficient functioning of the Director General & CEO’s office through a range of administrative and project management related tasks. This includes ensuring that all DG Office documents are appropriately saved and organized for corporate knowledge/memory.

He/she is also responsible for compiling briefing notes for the Director General’s internal and external meetings and contributes to the planning of the IATA Annual General Meeting.

Responsibilities

The key responsibilities in this role are:

* To maintain office records, including electronic document filing, mailing contacts data base, archiving of IATA governance meetings.
* To assist in setting up and maintaining intranet communities related to the Director General.

* In coordination with different business units and Regional Offices as required, to compile and edit briefing dossiers for the Director General’s meetings with high level external stakeholders. To ensure accuracy, relevance and timely delivery of information provided.
* In coordination with the Executive Assistant, to monitor incoming correspondence for any follow up action and review outgoing correspondence to ensure quality standards are met.
* To dispatch the Director General’s monthly newsletter – CEO Brief.
* To provide assistance with regards to the preparation and organization of the IATA Annual General Meeting.
* To manage ad hoc projects as required (e.g., relationship management, events support for the international community in Geneva).
* Other administrative tasks as assigned by the Manager, Office of the Director General & CEO.

Qualifications and Skills

* Advanced University Degree, in business administration or government affairs would be a strong asset.
* Ability to work independently and under pressure with little supervision. The incumbent must be exceedingly well organized, flexible and meet administrative challenges head-on.
* Strong communication skills and ability to interact in international and multicultural environments at the most senior level.
* Team-oriented and open as the job requires close coordination and information sharing with the other members of the office of the Director General and CEO.
* Discretion and high integrity.
* Attention to detail and problem solving skills.
* Proficiency in office IT tools, including SAP and Intranet tools. Strong knowledge of Electronic Management Document Systems.
* Proficiency in English and French with excellent writing skills. Working knowledge of other languages an asset.
