You will be an ambassador for GKN by being the first point of contact for greeting visitors and guests. The position will handle the flow of people through reception and ensure that all security protocols and administration are met.
Scope:
The main receptionist, who will also function as the Team Leader, reports to the senior contracts Engineer of Estates and Services and is responsible for providing office and clerical services. Failure to provide these services in an efficient and effective manner will result in disruption to the provision of services.
Responsibilities:
* Ensure that all booking in forms from GKN host are completed
* Check the denied persons database (Contacting GKN if denied)
* Validating photographic identification upon arrival
* First time visitors;
o Contact GKN host for meet and greet
o Ensure individuals watch induction videos
o Ensure questionnaires are completed and issue Health and Safety cards
o Issue all approved passes
* Manage the GKN Axiom database (GKN controlled doors)
o Set up new accounts to individuals for access to the GKN required doors
o Run reports required to support security enquiries
o Delete leavers
* Manage incoming calls and forward to relevant departments/individuals
* Sort and manage the incoming and outgoing mail for delivery to internal buildings and incoming and outgoing courier services (DHL)
* Manage office supply inventory management
* General administrative requirements both for GKN and Morson
* Produce main reception statistics (Visitor throughput, mailing and courier service
* Manage the Franklin machine (Postage machine)
* Create and run reports using internal software on numbers of visitors into reception and other reports as required
* Manage holidays for the Reception team co-ordinating cover arrangements and holiday spreadsheet
