This role

An exciting opportunity has arisen to fill the position of Office Administrator within ARI’s main head office in Grattan House, Northern Cross, Dublin 17. The main purpose of this role is to be the key point of contact for staff and stakeholders, being able to facilitate an effective routine and ensure the smooth running of an office on a day-to-day basis.

Qualifications

* Previous office support experience preferred
* Proficiency in Microsoft Office suite
* Supply management experience
* Excellent written and verbal communication skills
* Project Management experience would be an advantage but not essential
* Committed to the ARI company values

Responsibilities

*
Managing the efficient functioning of the office on a daily basis

*
Dealing with correspondence, complaints and queries

*
Assist management on the onboarding and IT set up of new staff members where required

*
Ensuring the office environment and procedures meet health and safety regulation standards and be accountable for safety policies, ensuring up to date and that the relevant staff representatives are fully trained

*
Being the main point of contact with Management Company regarding building maintenance

*
Co-ordinating with the cleaner and cleaning company, addressing any issues that arise

*
Assume key role in liaising with central support functions to facilitate services such as IT support

*
Develop organizational procedures and systems for office personnel, including filing, invoicing and room scheduling

*
Liaise with suppliers to ensure that relevant office supplies are kept stocked and up to date

*
Order stationary supplies and equipment as needed

*
Greet clients and vendors upon arrival and direct them to appropriate offices

*
Read and route incoming mail and process outgoing mail

*
Implement and monitor programs/projects as directed by management, and see them through to completion with regular updates

*
Support with event management for various office/team events

*
Provide support to the executive admin team as and when required
