Job Summary

In this role, you will manage administrative support for the UK&I HR Team, including training, recruitment and referencing administration as well as general employee HR administration and reporting. You will be responsible for development of agreed service level agreements (SLAs) and quality standards, ensuring that these are implemented and adhered to while streamlining all internal HR processes and workflows

Main Duties and Responsibilities:

*

Manage and oversee all administrative support for employees across gategroup based in UK&I, ensuring that SLAs and quality standards are met.

*

Drive continuous improvement of HR admin policies, procedures, documentation and processes to ensure consistency and compliance to legal requirements and avoid duplication.

*

Handle escalated queries from the HR administration team and resolve any issues promptly, also supporting the team with high volumes of work as required.

*

Co-ordinate and allocate workload across the team, ensuring information is passed to payroll and other stakeholders to meet monthly/quarterly deadlines.

*

Ensure HR reporting is managed according to agreed deadlines and quality standards.

*

Train and coach existing and new HR administrators in the team, ensuring that the team are cross-trained on all aspects of HR administration, managing their performance and giving regular feedback.

*

Manage external suppliers (e.g. Cottrills) ensuring that the service is delivered according to the contract and business requirements.

*

Ensure that new employees referencing is managed according to agreed timelines and that administration for recruitment days is supported if required.

*

Ensure logistics (e.g. room booking) and training course administration is managed according to agreed timelines.

*

Deliver the HR administration section of Unit based inductions at Heathrow and support the recruitment team with on-boarding of employees in the operation in the regions.

*

To ensure that all processes are accurately documented in the HR Administration handbook.

*

To ensure employee personnel files and electronic records are held in compliance with Data Protection Act and that they are complete and updated.

*

Conduct regular audits to ensure consistency of approach in administration documents, templates, shared drive, trackers and procedures across the business.

*

To undertake administrative functions for referencing as required in connection with security issues, including advising and assisting management/employees in obtaining restricted zone airside passes, referencing and basic disclosure certificates.

*

Ensure all day to day queries received in the Unit from internal and external customers are responded to appropriately, giving advice and guidance as required, focussing on a customer service approach.

*

To ensure incoming and outgoing HR post and documents are managed confidentially and accurately.

*

To generate reports from employee database (KCS) as requested.

*

To ensure all trackers are kept up to date.

*

To ensure other ad hoc HR or employment-related duties are carried out as required.

*

Suggest and support the implementation of improved ways of working and take a lead role

*

Ability to create, review and supply policies and procedures.

*

Accountable for facilities management at Ash House ensuring a customer service approach

Qualifications:

Education:

*

HR-related qualification (CIPD level 3) desirable but not essential.

*

Good level of secondary education (A level or equivalent)

Work Experience:

*

At least 2 years’ experience of working in a HR administrative role, preferably in a management / team leader position.

*

Familiarity with referencing, including airside (CAA & DfT) rules and regulations.

*

Experience of working in a fast-paced, high-volume workload and complex HR environment

Skills & Knowledge:

*

Team leadership experience desired

*

Excellent attention to detail and accuracy

*

Must demonstrate integrity, confidentiality and professionalism at all times

*

Ability to work efficiently, using own initiative to resolve issues

*

Excellent interpersonal skills

*

Excellent verbal and written English communication skills

*

Ability to work under pressure and to tight timescales, prioritising as appropriate

Proactive and flexible attitude

*

Good working knowledge of Microsoft Applications (Outlook, Word, Excel)

*

Experience of using data management systems

*

Understanding of relevant legislation (eg DPA, DfT, CAA, Home Office)
