Overview

A new and exciting opportunity has arisen with ARI for a Retail Project Coordinator. Reporting to the Global Director of Business Development, the purpose of this role is to work within the Business Development team with a link to the Strategy & Marketing Team in Dublin, to analyse the global retail market, complete premarketing activities for future business opportunities and focus on the production of technical submissions for new concessions to support business development. In addition, the role requires the holder to organise Bid Executive meetings and ensure that documentation is prepared and issued in a timely manner.

Qualifications

1-2 years experience in a similar position.

Degree qualified in Business, Arts, Communications or Marketing preferable.

* Project Management expertise with a background in agency/client management an advantage.
* A knowledge of and experience of project management software and techniques.
* Excellent written and verbal communication skills, with the ability to analyse and distil large amounts of information to key points.
* Planning, organisational and time management skills are essential to the role.
* Experience in judging design, graphics and document layouts while also ensuring all inputs are appropriate to the audience.
* Strongly motivated self-starter with the ability to work under pressure and to tight deadlines.
* Strong interpersonal skills and the ability to motivate a cross functional team and maintain relationships with a range of key operational and corporate internal stakeholders.
* High level of energy and strong problem solving and troubleshooting skills with the ability to exercise mature judgment often in pressure situations.
* Problem solving skills essential with an initiative to progress issues to avoid additional delays.
* It is essential to drive for excellence and results and to have a passion for delivering the highest standard of best practice at all times across all aspects of this role.
* Professional manner is essential with good interpersonal skills and patience.

Responsibilities

Pre-marketing & Analysis

* Analysis of the global travel retail market, by developing market insights on competitors, airports and partners.
* Responsible for pre-marketing activities for future business opportunities on assigned geographical regions.

* Research, develop and maintain a pre-marketing database outlining activities by geographical location, key points of contacts and timelines assigned.
* Ensure that any new data and findings are uploaded to Business Development Client Relationship Manager (CRM) database maintained by Business Development Executive (Bahrain based).
* Ensure a quarterly review of pre-marketing database is shared and presented to the Director Global BD and BD team.
* Prepare material and presentations to support new business opportunities based on pre-marketing data.
* Actively participate in BD project teams.

* Evaluate data obtained and present potential BD targets/opportunities on quarterly basis.
* Maintain an updated image library for use in BD presentations, bid documents and briefings.
* Responsible for the continuous review of how our competitors present and capture data their bids and other presentations.
* Manage BD file archive in Ireland, including off site file storage and file listings.

Project Management - Tenders

* Support the successful re-tendering of current operations and new tender responses and preparation.
* Work with Bid Project Manager to conduct an in-depth review of the RFP when released to assign responsibilities and deadlines to various section owners to ensure completion of all requirements outlined in the RFP.
* Develop and maintain a project plan to ensure that all interim and final deadlines are met by both internal and external parties.
* Project manage the tender book design, content, collation and sign off of all submissions from various section owners for inclusion in the final bid document.
* Manage the tender book design and print budget to delivery stage including transport options and packaging.
* Work with ARI Marketing on brief for the design of the technical submission.
* Responsible for proof reading and sense check flow to ensure cohesion across various sections and to ensure the content meets the submission criteria as outlined in the RFP.
* Management of the amends cycle with section owners and the design agency.
* Liaise with external designers and printers to ensure that all elements of the submission meet the deadline set.
* Liaise with Bid Manager on collation and sign off on full RFP (Technical submission, Financial bid, Exhibits etc.).
* Responsible for the on-time delivery of the final submission to the airport.
* Maintain tender document templates and collateral, ensure templates are updated with accurate content for future bids.
* Prepare presentations for airports to support technical bid submissions to increase awareness and communications.
* Enhance the reputation of ARI in the Travel Retail industry and amongst clients/partners, shareholders and stakeholders.
* Monitor the content of the bid assumptions booklet as an accurate point of reference ‘post’ bid submission to ensure there is an accurate record of information sources as included in the tender submission.
