The Flight Training and Travel Coordinator is responsible for the Pilot Trainees during the duration of their training. Duties range from ordering training materials to booking travel accommodations. This position is also responsible for all company travel, annual hotel contracts, ground transportation, establishing direct bills and reconciling invoices.

Duties and Responsibilities

* Manages training materials for New Hire pilot candidates, Line Pilots transitioning to new aircraft and First Officers upgrading to Captains

* Plans, schedules and monitors training timelines for all fleet types

* Collaborates with Program Managers to review and maintain key milestones and Release to Line timeframes for Pilot Trainees

* Manage the corporate Jeppesen account for the electronic chart services issued to all Pilots and aircraft at every base station

* Oversee distribution of checklists and weight and balance calculators for all aircraft

* Setup classroom for Ameriflight’s monthly Basic Indoctrination Ground School

* Monitor the epaulet and wing management program for all Pilots and Bases

* Book air, hotel and ground transportation for all company travel

* Monitor travel request, book cost efficient airline tickets to support flight operations, training, maintenance and other departments.

* Negotiate annual and new rates for hotels in support of operation and monitor hotel booking charges on WEX card and Direct Bills.

* Acquire and review all folios for hotels in support of Pilot Resource Manager metric report and accounts payable.

* Interface with Accounting Department regularly to reconcile hotel/travel invoicing.

Qualifications

* Preferred previous airline Crew Scheduling, Crew Planning and/or Crew Travel experience.

* Must have knowledge of pilot duty and rest requirements

* Must demonstrate strong verbal and written communication skills

* Must have strong organizational and time management skills with an attention to detail

* Must be willing to work varied hours, if required, and expect on-call duties to meet the demands of a 24-hour, 7-day per week flight schedule and operation

* Must be able to work efficiently and professionally in stressful situations if they arise

* Ability to collaborate with a team as well as work independently without supervision

* Proficient with Office 365, with in-depth knowledge of Excel, PowerPoint, Word and Outlook

* Ability and drive to improve processes already in place

* Education: A college degree is preferred, but not required for the right candidate

* Must pass a 10-year background and criminal history record check
