Position Overview:

To provide administrative support to the Vice President International Marketing. Ensures that the Marketing office is well organized and efficient. Ensures that the Company is well represented when meeting visitors or with telephone and internet communication.

Key Areas of Responsibility:

* Maintain correspondence and filing systems, both digital and paper versions.

* Prepare correspondence (from written and electronic sources) in accordance with Administrative Directives.

* Prepare and finalize plans, reports, and correspondence.

* Management of all incoming and outgoing mail including tracking and maintaining a “bring forward” system.

* Management and replenishment of equipment and supplies.

* Management and coordination of assigned special projects and studies.

* Coordinate travel requirements in a cost effective manner.

* Ensure the Marketing office is organized, clean, presentable and efficient

* Preparation and control of financial documentation (prepare credit card, expense claims, timekeeping, etc).

* Responsible for telephone support, VOIP, cell phone management for the department

* Coordination of data inputs to the CRM system. Management of client database.

* Preparation and collation of documentation for proposals and procedures.

* Prepare & Complete Briefing packages & PowerPoint presentations as necessary for Company visits/prospective clients.

* Perform administrative functions on behalf of the VP International Marketing

* Co-ordinate staff and visitor travel requirements

* Co-ordinate catering arrangements for meetings with current/prospective clients.

* Other tasks as assigned.

Position Requirements:

* High School Graduate.

* Minimum of five years’ experience as an Administrative Assistant.

* Formal Secretarial Training or equivalent experience.

* Excellent organizational skills specific to office environment.

* Professional in manner and appearance.

* Excellent ability to interact with people at all levels inside and outside the Company.

* Ability to work harmoniously with people and handle pressure due to tight deadlines.

* Self Starter. Able to work with minimal supervision given the travel requirements of the Marketing staff.

* Excellent typing skills. Experience in working with large documents and proposals.

* Highly proficient use of personal computer equipment.

* Strong experience in utilizing the MS Office suite of software and MS Outlook. (in particular, MS Word, Excel, PowerPoint and Project)

* Demonstrate a personal commitment to IMP Occupational Health, Safety and Environment policies.Continually focusing on your individual safety and the safety of others who may be affected by your work and to fully comply with all Federal Health and Safety Legislation.

* Participate in Continuous Improvement, Lean & 8S activities in your area.

* Must be eligible to meet requirements for Canadian Controlled Goods Program (CGP), U.S. International Traffic in Arms Regulations (ITAR) and Canadian government security clearances.
