Responsibilities

This Executive Assistant position is perfect for someone who has a passion for strategy, finance, and building new, transformational capabilities. You will have the opportunity to learn from Leaders on the Financial Planning and Analysis and Corporate Strategy and Innovation Teams, both of which play a critical role to the success of Southwest Airlines. We need someone who is ready to work in a fast-paced and analytical environment, while also being proactive and always anticipating needs for two Senior Management Committee members that interact with all areas of the Company. You will need to establish important relationships across Southwest while maintaining confidentiality and comfort dealing with sensitive information.

Provides legendary Customer Service by providing executive support to member(s) of Senior Management Committee (SMC). Coordinates overall leader administrative functions and highly complex projects with medium visibility (Department-wide) as assigned.

WORK ACTIVITIES/CONTEXT:

* Works under broad supervision. May be assigned moderately complex projects.
* Manages large- scale department projects and cultural activities.
* Owns large event planning for the Department.
* Reviews department and company news closely and understands them in relationship to his or her organization.
* Demonstrates proficiency in business writing; able to compose, critique, and edit all levels of correspondence, presentations and speeches.
* Proofs all written correspondence.
* Proactively manages & prioritizes calendar and itinerary to ensure most effective use of the Leader(s) time.
* Anticipates the needs of their Leader.
* Proactively resolves scheduling conflicts.
* Manages travel arrangements
* Prepares detailed travel packets.
* Practices effective meeting management.
* Organizes appropriate and relevant information for meetings.
* Coordinates collection of monthly department reports.
* Coordinates training for support staff.
* Manages department projects and cultural activities.
* Mentors other Administrative professionals.

Must be able to meet any physical ability requirements listed on this description.

May perform other job duties as directed by Employee’s Leaders.

Qualifications

BASIC QUALIFICATIONS:

High School Diploma, GED or equivalent education required.

Must be at least 18 years of age.

Must have authorization to work in the United States as defined by the Immigration Reform Act of 1986.

EDUCATION:

* High School diploma or equivalent required.

WORK EXPERIENCE:

*
Minimum four years of work experience in Administrative Support, Customer Service, or Project Lead related fields required.

SKILLS/ABILITIES/KNOWLEDGE/WORK STYLE:

Must be able to comply with Company attendance standards as described in established guidelines.

* Must have a high level of customer service delivery.
* Must have a high sense of urgency.
* Must be able to handle and resolve conflict/will seek to clarify details.
* Must demonstrate confidence; sensitivity to confidentiality; and solid judgment in performing duties.
* Must be able to operate multi-line phone courteously and with sufficient speed.
* Advanced proficiency in office management & department procedures.
* Leads efficiencies and process improvement.
* Must be highly proficient in Microsoft Office Suite (assessment may be required) and demonstrates the ability to adapt to new technology applications and acquire new technical skills.
* Must be able to perform mathematical computations.
* Must meet confidentiality expectations as to confidential, proprietary and sensitive Company information.
* Communicates professionally with Leaders and all internal & external Customers and peers.
* Effectively sets priorities and multitasks; proactively seeks creative ways to perform tasks in a timely and efficient manner (email, deadlines, calendar management, organization).
* Understands the mission, purpose and vision of Southwest Airlines.
* Understands the mission purpose of their department Understands the different functions of the department.
* Additional job duties include, but are not limited to: detailed work, confidentiality, reviewing documents, problem-solving, decision making, verbal and written communication, customer contact, performing multiple concurrent task with constant interruptions.
* Understands the business and industry in which the department operates.
* Is aware of “hot button topics” and important issues in the department.
* Makes connections and helps prioritize for their Leader.
* May represent Leader in meetings committees or functions.

OTHER QUALIFICATIONS:

Ability to work in an on-call environment and flexible work schedule to support the needs of the business as needed.

Ability to travel with some overnight stays required.

Must maintain a well-groomed appearance per Company appearance standards as described in established guidelines.
