Position Purpose

To provide best practice administrative assistance and support to the Aviation Services team.

Key Accountabilities

Provide project administration and coordination for specific aviation services initiatives and projects.

Oversee the administration of the Aviation Services Customer Relationship Management (CRM) database (Salesforce).

Coordinate and manage Sydney Airport staff travel.

Provide effective general administration support for the business activities of Aviation Services including:

* Diary and meeting management for Aviation Services Heads of;

* Coordination and set-up of external meetings and events;

* Preparation of written communications including correspondence, meeting minutes, reports and presentations;

* Ordering and maintaining office supplies, PPE equipment and business cards;

* Document management and archiving, utilising Sydney Airport’s Electronic Document Management System;

* Finance related administration tasks including but not limited to processing of invoices, reconciliation of expenses;

* Analyse and improve business administrative processes to make best use of the administrative function;

* Onboarding of new starters including consultants and contractors;

* Support the Executive Assistant to Chief Operating Officer and provide reception relief as required; and

* Other duties as directed by the Head of Aviation Engagement Programs and the Executive Assistant to the Chief Operating Officer.

Qualifications & Knowledge

Required

Desired

* Certificate or Diploma in Office Administration or other relevant field or equivalent experience

* Excellent general office administration skills

* Advanced computer software skills for MS Word, Excel and PowerPoint

* Customer service experience

* Experience in the use of document management systems for example EDM or TRIM and Oracle System

* Experience in use of Salesforce or other CRM tool/s
