Specific Job Description

The position will be full-time within the existing Programme Support Team, with three days covering Reception duties and the other two days undertaking administrative tasks in support of the Programme Support Manager, Office Manager and local Lockheed Martin team.

The position requires a sound reception or project support background, and will be providing a high standard of hospitality, meeting and administrative support to both national and international Lockheed Martin employees and their customers. Work location is based around the Gloucester/Cheltenham area.

Duties / Responsibilities:
This post entails the following duties and responsibilities:
* Being the first point of contact to greet visitors;
* Ensure security requirements, as directed, are adhered to, including issuing appropriate security passes;
* Managing meeting room bookings;
* Managing incoming and outgoing post and deliveries;
* Answering calls;
* Dealing with phone enquiries and transferring calls as necessary;

* Support to the Office Manager and general administrative duties as assigned e.g.
* ESH support, maintaining waste log;
* Maintain Car registration lists, Contact lists;
* Filing

* Keeping reception, kitchens and front of house areas tidy;
* Ensuring kitchen and stationery supplies are maintained and ordered as appropriate, under the direction of the Office Manager;
* Catering
* Ordering and serving lunches (when approved);
* Making tea/coffee for meetings or visitors as required;

* Escorting visitors and maintenance contractors as appropriate
* Arrange Social & Team Events e.g.
* Arranging Year End meal;
* Team building activities;

* Providing Administrative support to the management team, as directed e.g.
* Support with Travel and Expense System (Concur)
* Meeting support including note taking and action item management
* Procurement support using LM systems

* Provide cover as required and directed the Office Manager and Programme Support staff during periods of absence.

* Knowledge of administrative and clerical procedures and systems such as word processing, managing files and records, designing forms and other office procedures and terminology.
